When you create an account, we collect:

  • Roblox username and user ID (if connected)

2.2 Workspace and Game Data

When you create or manage workspaces, we collect:

  • Workspace name, description, and settings
  • Game information (place IDs, game names)
  • Server data and configurations
  • Staff member information and roles
  • Billing and subscription information (processed securely through Stripe)

2.3 Player and Game Activity Data

To provide our remote administration services, we collect:

  • Player information (Roblox user IDs, usernames, display names)
  • Chat messages and moderation actions
  • Admin command logs and execution history
  • Player join/leave events and session data
  • Game events and statistics
  • Ban records and moderation history

All player activity data is collected and stored on a per-workspace basis and is not cross-correlated across Roblox experiences.

2.4 Usage and Technical Data

We automatically collect certain information when you use our service:

  • IP addresses and device information
  • Browser type and version
  • Usage patterns and feature interactions
  • Error logs and performance metrics
  • Monthly Active Users (MAU) statistics for billing purposes

4. Workspace Data Isolation

Player data — including Roblox user IDs, usernames, chat messages, game events, and moderation records — is collected and stored on a per-workspace basis and is strictly scoped to the Roblox experience(s) within that workspace.

  • No cross-workspace correlation: We do not correlate, aggregate, or join individual player records across multiple workspaces or Roblox experiences, whether at the API or database level.
  • Platform-level aggregates: Platform administrators may access aggregate statistical counts (e.g. total active players across the platform) for operational monitoring. These are scalar counts only — no individual player records are returned or joinable across experience boundaries.
  • Admin access scope: Platform administrators with elevated access can view data for individual workspaces one at a time. This is technically enforced: each API request is scoped to a single workspace identifier and cannot return records spanning multiple workspaces in a single response.
  • Purpose limitation: Player data collected within a workspace is used solely to provide the remote administration features for that workspace. It is not used to build cross-experience profiles or shared across workspace operators.

5. Data Storage and Security

We implement industry-standard security measures to protect your data:

  • All passwords are hashed using bcrypt before storage
  • Data is encrypted in transit using TLS/SSL
  • Database access is restricted and monitored
  • Regular security audits and vulnerability assessments
  • Access controls and role-based permissions
  • Secure payment processing through Stripe (we do not store credit card information)

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security.

6. Data Sharing and Disclosure

8. Data Retention

We retain information for as long as necessary to provide our services and fulfill the purposes outlined in this policy:

  • Account Data: Retained while your account is active and for a reasonable period after deletion
  • Game Event Logs: Automatically pruned on a daily basis. The number of retained events per workspace depends on the subscription plan (from a lower limit on the Free plan to a higher limit on Enterprise). The oldest events are removed first when the limit is reached.
  • Chat Logs: Retained for up to 90 days, after which they are automatically deleted. This limit applies across all subscription plans.
  • Ban and Moderation Records: Retained for the duration of the workspace unless deleted via the Roblox Right-to-Erasure process or manual erasure. Moderation audit records (admin actions) have identifying fields anonymised after a period of inactivity.
  • Erasure Compliance Log: Retained indefinitely as an accountability record of data deletion requests processed, in accordance with GDPR Article 5(2).
  • Billing Records: Retained as required by law (typically 7 years)

When you delete your account or workspace, we will delete or anonymize the associated personal information, except where we are required to retain it for legal or legitimate business purposes. Players may request deletion of their data through the Roblox Right-to-Erasure mechanism or by contacting the relevant game developer.

9. Children's Privacy and the Roblox Service-Provider Model

Remote Admin by RoUtilities operates exclusively within the Roblox ecosystem. Because Roblox's player population includes a significant number of users under the age of 13, player data processed through our service may relate to children. We take this seriously and have structured our data practices accordingly.

9.1 Our Role as a Data Processor

Remote Admin by RoUtilities acts as a data processor and service provider on behalf of the Roblox game developers who use our platform (the "operators"). We do not independently collect or control player data — we receive it from game developers solely to provide our moderation and analytics services to them.

Roblox obtains verifiable parental consent from parents of under-13 users before account creation. Game developers who integrate Remote Admin by RoUtilities are themselves operators of Roblox experiences and are responsible for ensuring their use of third-party services (including Remote Admin by RoUtilities) is covered by their own applicable privacy disclosures and complies with applicable law, including COPPA and GDPR.

9.2 Our Obligations as a Service Provider

As a service provider processing player data on developers' behalf, Remote Admin by RoUtilities:

  • Processes player data only for purposes directed by the game developer (moderation tooling, dashboard analytics, compliance logging)
  • Does not use player data for any independent purpose, including advertising, model training, or profiling
  • Does not sell or share player data with any third party
  • Applies data minimisation: player data is scoped to individual game experiences and not aggregated across experiences
  • Supports the Roblox Right-to-Erasure system so developers can fulfill deletion obligations on behalf of players and parents

9.3 Parental Rights Requests

If you are a parent or guardian and have a concern about your child's data in connection with a specific Roblox game, we recommend contacting the game developer directly or submitting a deletion request through Roblox's official privacy channels. If you believe your child's data has been improperly collected by a developer using our service, you may also contact us at [email protected] and we will assist in processing the request.

10. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country. By using our service, you consent to the transfer of your information to these countries.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. We encourage you to review this Privacy Policy periodically for any changes.
